Virtual & hybrid events

Formats, tech, best practice.

Virtual and hybrid events can be delivered successfully with the right platform, preparation, and technical setup. Clients are responsible for providing a reliable virtual connection platform and ensuring audio, video, lighting, and transmission quality meet professional standards. If the speaker is joining remotely, clear connection details and technical support should be provided in advance to ensure a smooth and professional experience for all attendees.

Where requested, Chartwell will coordinate a pre-event briefing and/or connection test to confirm logistics and help ensure the session runs seamlessly.

What platform should we use for a virtual or hybrid event?

Clients may use a platform of their choice (such as Zoom or Microsoft Teams), provided it is reliable and suitable for professional delivery. The quality of the connection and transmission is the client’s responsibility.

Do we need to schedule a technical rehearsal or connection test?

A brief technical check is strongly recommended for virtual and hybrid events. Chartwell can help coordinate a pre-event briefing to confirm connection details, run-of-show, and technical requirements.

What technical support is required during the event?

A dedicated technician or technical contact should be available before and during the session to manage platform settings, troubleshoot audio/video, and ensure the speaker can connect easily and present without disruption.
